What type of information we have

We currently collect and process the following information:

Personal identifiers, contacts and characteristics (for example, name and contact details)
Information about our maintenance or service contract with you (for example, the type of system/equipment installed in your premises, records of past and future service/maintenance visits
Financial details (for example quotations for services/installations, invoices for payment, salary, tax and NI information, bank details)

How we get the information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

Customers: you have asked us to install or maintain a system at your premises
Suppliers: you supply us with goods or services
Staff: you are employed by us

Under the General Data Protection Regulation (GDPR), the lawful basis we rely on for processing this information is that we have a contractual obligation with you.

What we do with the information we have

We use the information that you have given us in order to

Customers: record any quotations we have provided for you, to keep details of any installations so that we can maintain the equipment, to invoice you for goods and services supplied
Suppliers: to record goods and services supplied in our accounting system and your bank details for payment.
Staff: To record personal information such as time-sheets, tax and NI and bank details for for salary payments, CVs and other information for staff development purposes.

We may share this information with staff within H&H Alarms and on occasions with specialist suppliers if site-specific information is required when providing a quotation or maintenance contract.

How we store your information

Your information is securely stored at T&L Business Park. The office is alarmed which is linked to a mobile phone system.

Records are kept in a contracts database, a financial accounting system and in secure filing cabinets.

We will keep financial records for 6 years following the end of the previous financial year. Records of installations and maintenance will be kept whilst the maintenance contract remains active. If a contract has been inactive for more than 3 years all records (paper and data) will be deleted/destroyed.

We will then dispose of your information by the removal of records from our contracts database and by secure disposal of paper records.
